GuardianRx Electronic Signature Capture
As part of the HIPAA privacy requirements, pharmacies need to have customers sign acknowledgements
of privacy and authorization notices. Adding this to your existing signature requirements can be
both costly and time consuming if you utilize a traditional paper-based approach to signature
collection, storage and retrieval.

The GuardianRx Electronic Signature Capture System™ product is a combination of hardware and
software. The system electronically captures signatures that pharmacies currently are required
to store, and enables efficient capture, storage and tracking of signatures required by HIPAA
regulations.

The hardware consists of a handheld barcode scanner that attaches in line with a standard
keyboard, and a digitizing pad with LCD display (which connects using a USB cable) for the
actual signature capture. The software is a stand-alone application that ties in to the
GuardianRx™ database for prescription information, stores signatures in a database, and
updates GuardianRx™ with signed HIPAA document information. This software and hardware can
be installed on an existing GuardianRx™ workstation or on a separate computer on the network
that doesn’t have GuardianRx™ loaded.

GuardianRx™ has HIPAA document tracking features that allow the pharmacist to enter a document
or documents that patients are required to sign. The user has the option to set the system to
either warn the user during a “dispense”, or stop it altogether, if the appropriate documents
have not yet been signed. Once the document is signed, the pharmacist can update the patient
record with the correct date.

The GuardianRx Electronic Signature Capture System™ eliminates this manual updating. When a
label is printed, a barcode of the Rx number is included on the receipt. The user simply scans
this receipt at the pickup counter, and the Signature Capture screen will display a list of
documents that need to be signed along with the acknowledgment that the current prescription has
been picked up. The customer will acknowledge the HIPAA document(s) and the offer of counseling,
and sign for the Rx pickup.

Once the signature is captured, the image is stored in a database, and the document flag is set
in the patient’s record. The next time the patient picks up a prescription, they will not need
to sign for the HIPAA document(s) again.

The user can generate HIPAA, counseling, and third party signature reports as necessary.

HIPAA compliance while reducing the time involved in managing paper based patient
acknowledgements and authorizations.
